Why Your Quotes Take a Day: Sending GST-Ready Quotes in Minutes

Slow, error-prone quotes lose deals in India. Here's what a GST-ready quote needs, and how to stop rebuilding it in Excel every time.

A customer asks for a quote on Monday morning. Your salesperson opens last month's Excel file, copies it, changes the customer name, looks up today's prices, works out the GST, fixes the formatting that broke, exports a PDF and sends it on Tuesday afternoon.

By then, a competitor who replied on Monday is already in a conversation with your customer.

For many small and mid-sized businesses in India, the quote is where sales quietly slow down. Not because the price is wrong, but because the quote takes too long, looks different every time, or arrives with a mistake that makes the customer hesitate.

Why speed matters more than you think

When a buyer asks three suppliers for a quote, the first credible one sets the benchmark. The others are compared against it. A fast, clear, correct quote signals that you are organised and easy to work with. A slow one, or one with the wrong tax, signals the opposite before your product has even been discussed.

The common causes are almost always the same:

  • No single price list. Prices live in several spreadsheets, and nobody is sure which one is current.
  • Tax worked out by hand. Each salesperson calculates GST in their own way, and occasionally gets it wrong.
  • Every quote looks different. Different templates, fonts and terms depending on who sent it.
  • No record of what was sent. When the customer calls back, nobody can find the version they are looking at.

What a GST-ready quote should show

A quotation is not a tax invoice, but customers increasingly expect it to show exactly what the final invoice will. That avoids surprises and back-and-forth later. A clean quote for an Indian customer typically includes:

  • Your business name, address and GSTIN
  • The customer's name and, for business customers, their GSTIN
  • A quote number and date, plus how long the quote is valid
  • Each line item with quantity, rate and the HSN code (for goods) or SAC code (for services)
  • The GST rate for each item and the tax amount, shown separately from the price
  • Totals in Indian lakh grouping: ₹1,25,000 rather than ₹125,000
  • Payment terms and delivery terms

CGST + SGST, or IGST?

This is where manual quotes most often go wrong. Broadly, when you and your customer are in the same state, the tax is split into CGST and SGST. When you are in different states, IGST applies instead. The total percentage may look the same, but showing the wrong split creates confusion for your customer's accounts team and extra work for yours.

The fix is not to make salespeople better at tax. It is to let the system decide based on the customer's state, every time, automatically. Your accountant can then check the rules once instead of checking every quote.

A five-step way to get quotes out the same day

  1. Create one product and price list. One place, with HSN/SAC codes and GST rates stored against each item.
  2. Store customer details once. Name, address, state and GSTIN entered a single time, not retyped on every quote.
  3. Use one template. Agree the layout and standard terms once. Every quote looks professional and consistent.
  4. Let the system calculate tax. CGST/SGST or IGST chosen automatically from the customer's state.
  5. Keep every version. When the customer calls, anyone on the team can see exactly what was sent and when.

None of these steps is complicated on its own. The difference comes from doing all five in the same place, so a quote becomes a two-minute task rather than a half-day one.

Where to start

Time your next five quotes from the moment the customer asks to the moment the PDF is sent. If the average is more than an hour, the quote process is worth fixing before anything else in your sales process. It is usually the quickest win available.
